What the document requires

  • Define the field of use and purpose, check its lawfulness, and prefer uses that need no personal data.
  • No automated final decision: a human must take the decision (reflecting Art. 22 GDPR).
  • Distinguish closed from open systems and be transparent about training use and prompt history, with a choice where possible.
  • Carry out a data protection impact assessment, set internal rules, define and bind responsibility, and involve the DPO and staff representatives.
  • Protect employees and set up business accounts rather than personal ones; apply privacy by design and by default.
